Restaurant Birthday Email Template

A birthday email is one of the few marketing emails guests look forward to. No. 03Timing

When to send a birthday email

Send it automatically about 7 days before each birthday, so guests have time to make plans. Most platforms do this with a date-based automation that reads a birthday field.

  • If your platform can't, send one email at the start of each month to everyone with a birthday that month.
  • Send it only to guests who gave you their birthday, usually through a sign-up form or loyalty program.
  • Give the treat a window, such as 14 days from the email, instead of a fixed date, so the same email works all year.

Take care

Automatic birthday emails need birthdays you collected with permission and an email platform that can send on a date field. Never guess birthdays or buy them from a data broker.

No. 04Before you send

Before you send it

Run through this list before the email goes to your whole list. It takes two minutes and catches what guests notice first: a wrong date, an offer your team hasn't heard about, or a button that goes nowhere.

  • The treat, how many days it's good for and any limits are filled in
  • The validity window matches what your team will honor
  • Your servers know how to redeem it
  • The button goes to your booking page
  • You sent yourself a test

Common mistakes

  1. Sending it on the birthday itself. A week ahead gives guests time to plan a night out.
  2. Hidden conditions. If the treat needs a minimum spend or a dine-in visit, say so in the email.
  3. Not telling your team. Guests shouldn't have to explain the email at the table.

No. 06FAQ

Birthday email FAQ

When should you send a restaurant birthday email?

About a week before the birthday, so guests have time to plan a celebration and book. Some restaurants add a short note on the day itself. If your platform can't send on a date field, send one email at the start of each month to everyone with a birthday that month.

What's a good birthday offer for a restaurant?

One that's easy to understand and fits your margins. In our experience, a free dessert or drink with a meal often feels more generous than a small percentage off and costs you less. Whatever you choose, give it a window, such as 14 days, and state any limits.

How do I collect guests' birthdays?

Ask for month and day on your sign-up form or in your loyalty program, and say why: a birthday treat. Make it optional and skip the year. Online ordering checkouts, Wi-Fi sign-ins and a tablet at the host stand are common places to ask.
