Restaurant Win-Back Email Template

A win-back email reaches guests who haven't visited in a while and gives them a reason to return. This template leads with what's new rather than a discount, and never makes guests feel watched. Copy it and fill in the brackets, or have the generator write one for your restaurant.

The email

Email

Hi there,

We wanted to share what's new at [Restaurant Name], in case you haven't seen it yet. Our kitchen has been busy.

New on the menu: [New Dish] and [New Dish], plus [A Change, like a new patio or longer hours]. [Dish You're Known For] is still here too, made the way you remember it.

Weeknights are an easy time to stop in, and the team would be glad to see a familiar face. Bring a friend who hasn't been yet and make it a night out.

Our hours are [Hours], and you'll find us at [Address]. Book a table for this week, or stop by when it suits you. Either way, we'd love to cook for you again.

See you soon,
The [Restaurant Name] team

When to send a win-back email

Send it automatically to guests whose last visit was about 60 days ago. That needs visit data from your POS, reservation system or loyalty program synced to your email platform.

  • Lead with something new, not a discount. If a guest hasn't visited a week later, a second email with a modest offer can follow.
  • Send it once per lapsed guest. If two emails don't bring them back, let them be.
  • Adjust the 60 days to your rhythm: a weekly lunch spot might use 30, a special-occasion restaurant 90 or more.

Take care

A win-back email needs a reliable way to tell who hasn't visited lately, such as POS or reservation data. Without it, never write "it's been X days" or imply someone stopped coming; send a general what's-new email instead.

No. 04Before you send

Before you send it

Run through this list before the email goes to your whole list. It takes two minutes and catches what guests notice first: a wrong date, an offer your team hasn't heard about, or a button that goes nowhere.

  • The new dishes and changes are real and available now
  • Nothing says how long it's been since their last visit
  • If you add an offer, it has an end date and clear limits
  • The button goes to your menu or booking page
  • You sent yourself a test

Common mistakes

  1. Guilt-tripping. "We miss you, where have you been?" makes guests feel watched.
  2. Leading with your biggest discount. Try a reason to visit first and save an offer for the follow-up.
  3. Sending it to everyone. Without visit data, a regular who came in last week gets a "come back" email.

No. 06FAQ

Win-Back email FAQ

How long should I wait before sending a win-back email?

This template assumes about 60 days without a visit, but match it to how often your regulars come in. A weekly lunch spot might use 30 days and a special-occasion restaurant 90 or more. Base it on your own visit data, not a general rule.

Should a win-back email include a discount?

Not the first one. Lead with something new, like a dish or a change you've made, and see who comes back. If a guest hasn't visited a week later, a follow-up with a modest offer and a clear end date can help without training everyone to wait for deals.
